As the company went from strength to strength and quickly scaled, it became apparent that its TA team was facing several challenges.
The first was reporting. In 2021, there was no standardized method and the entire team was operating out of spreadsheets. This made reporting cumbersome as it would take three hours to extract data from multiple spreadsheets to compile monthly reports. Finding a system that helped to better track the recruiting program’s performance and identify areas of improvement was therefore crucial. The second challenge was compliance, which needed to be addressed as a priority.
Thirdly, there was the need for increased efficiency. TA staff were spending too much time on administrative tasks instead of more impactful recruiting activities. The organization’s fragmented data management practices also created data silos, which resulted in incomplete and ineffective analytics, hindering its efforts to drive business outcomes.
What’s more, because the TA team didn’t have any way to build talent pools, they were losing track of potential candidates for new roles. Instead of leveraging previous applicants and silver medalists, they were lost in an unsearchable system – an issue compounded by the skills shortage in its sector.

Once the system was operational, the TA team identified configurations it would like to adjust and recognized the value of being able to make those changes with confidence. During an inspiring one-on-one session with an Avature consultant, it became clear that Avature’s certification program could help the team work with increased autonomy.
This self-sufficiency has been key in allowing the company to scale easily as the business has grown.
The Results: Data Cohesion and System Scalability
Beyond achieving their initial objectives of improving reporting, compliance and efficiency, the TA team’s adoption of Avature garnered a lot of positive attention from other parts of the business, particularly regarding how they managed data.
As the team analyzed their data sets in the lead-up to Avature’s implementation, they realized they had 600 unique position files, many of which were superfluous in an organization with under 2,000 employees. After a rigorous data cleansing process, they were able to help other teams manage their own data before adopting the business-group-wide rollout of a new payroll system.
Inspired by how the TA team used data and data sets within Avature, lunch and learn sessions were organized to show other teams the impact that data had on the different areas of the business and how it could be used in the future due to Avature’s high configurability.
